When to Make the Call?
The first problem most people encounter after picking up their phone to get new bookings is the “no answer” situation. This does not mean you should give up. On the contrary, minimize or eliminate the disappointment by calling again.
When?
The options are various and you will have to test out different periods of the day to find out what works best for you. In my case, evening time showed to be the most effective. More precisely, I’ve found that more people answer my phone calls Monday, Tuesday and Wednesday evenings. The perfect time to make the calls is between 7:00 PM and 8:00 PM. I wouldn’t recommend calling later than 8:15 PM or after 8:30 PM, out of courtesy. I have scheduled these three days and times on my calendar, and think of them as a non-negotiable responsibility.
The hardest part is to start calling, but as soon as you break the ice, things get much easier. You will feel better and probably even enjoy yourself, once you get the hang of it.
It’s all about timing, so this simple yet reliable strategy of calling two or three times on different days, at different times of day, should work. Maybe the first time you called people were at work or just weren’t at home.
So, take notes on your progress by using The Hostess Details Form. Make a 1 to 31 Tracking System Follow-up folder, so you know exactly whom you called, when, and what you’ve said to that particular person. This time-saving habit will help you a lot in the future.
What If Nobody Answers?
What to do if a hostess or a customer doesn’t answer the phone? The simplest and the most obvious solution is to – leave a voice message. It’s a great option because the person you are speaking to can feel your excitement and enthusiasm. Keep it simple – present your work and offer, and finally kindly ask them to call you back when convenient.
It is still possible that your phone calls and voice messages are left unanswered. Let’s say you are doing hostess coaching calls, and the hostess is not answering. You are in an inconvenient situation because you don’t know whether the party is on or not and whether you should show up.
So, change your strategy – instead of calling, send a text message or a Facebook message. Try to phrase the message in form of a question. Introduce yourself, and ask if it is okay to show up at a specific time before the party starts. If the answer is affirmative, you’ll know that the party is on, and you can proceed as scheduled. Keep in mind that some people just prefer communicating via messages over phone calls.
No Matter What – Don’t Give Up!
If after four or five attempts you are not getting through to the person you’ve contacted, just move on to the next person. It’s pointless to keep calling and not getting a response. It’s counterproductive and time consuming.
However, you can see it as an opportunity to book yourself in to do some promotional events – fundraisers, vendor events, etc. These events are an excellent option to meet new people that will fall in love with your products and everything you have to offer!
To sum up – If the question is whether to call or send a message, I would always recommend a phone call. It is more personal and allows you to express your excitement, and the entire communication between you and your potential client is more thorough. If the person you’ve contacted is not answering, try to make the call again, on a different day and different time of the day. This way you will find the most suitable timing to make the calls. Finally, leave a voice message and provide your potential client with some details on what you do.
If all of this fails, sending a text message, Facebook message, or even an email may prove to be a great option. Use these messages to present yourself and your work, and ask whether your prospect is interested in what you’re offering. Additionally, doing promotional work is always a great opportunity to make new contacts and business opportunities.
Be patient and persistent, and the hard work WILL pay off.
