Some of what I say here may be a little controversial or you may never have heard anything like this before, but still these are the principles I have run my own party plan business on for 3 ½ years now and they have worked extremely well for me, so if I can help others by sharing my thoughts, opinions and strategies then that gets me excited!  So here we go!

“Rate that Date!”  It kinda sounds like a game show name, doesn’t it?

We’re talking about the date you choose with your future hostess for her to book her party into.  Or, should I say, the date that you allow her to book into, because after all, you are the one in control of your own diary when it comes to offering your available dates for any future hostess.

This is a very important number and one that many party planners don’t think too much about, because they are just relieved to get the booking, let alone worry too much about what date the party is booked into.

I put the future booking dates into 4 categories of health status…. Or I guess you could say, 4 categories that define your chance of that booking going ahead:

• 1-10 days away from today, being the day you made the booking with your future hostess

• 10-14 days

• 14-21 days

• 21 days +

And here is how I would RATE THAT DATE. (Remember this is my opinion, but I have also developed these opinions into strategies that have worked wonders for me).

• 1-10 days  – WARM

• 10-14 days – HOT to TROT!

• 14-21 days – COOL

• 21 days+ – COLD as a DEAD FISH

Meaning;

• 1-10 days  – WARM – the party will likely go ahead, the hostess will be excited, but maybe there won’t be huge amounts of people there and huge sales due to the somewhat short notice.  That being said, if your business is behind the 8 ball and you need things to change fast, then 1-10 day bookings become your absolute priority!  Because 1-10 day bookings have the most potential to explode the growth of your business fast!  Sometimes it doesn’t matter is your sales are a tiny bit less, as long as you are meeting more and more people in a short amount of time and creating lots of momentum and action in your business.  The bigger results will come, you just have to get the bookings into auto-pilot first and 1-10 day bookings are a great way to do that.

• 10-14 days – HOT to TROT!  10-14 day bookings create the best overall results.  Lots of guests, lots of sales, easy bookings, flow in your business and a very happy hostess which in turn flows on to create many more happy hostesses.  You have good rapport with your hostess.  She is excited, she feels a connection to you and it’s all happy days!   10-14 day bookings are my absolute favourite and the ideal scenario!

• 14-21 days – COOL – 14-21 day bookings can be a little bit hit and miss.  Sometimes your hostess has booked a later date as a signal that she’s not all that keen and excited.  And by the time that party date comes around, you’ve kind-of forgotten a little bit about her, you don’t remember her as well, you don’t connect as much and her guests will notice that.  14-21 day bookings are a potential high risk of cancellations and certainly postponements, as these hostesses often feel like they want more time to organise so more people can come.  There’s a lot more time involved for you in hostess coaching. It’s hard to keep this hostess excited for such a long time and the party becomes a chore for her.  So you are creating more work for yourself and you are delaying your potential income if not risking losing it all together!

• 21 days+ – COLD as a DEAD FISH – Get ready for it……  This hostess is probably going to cancel and break your heart in the process!  She’s not serious, she’s not excited; you have not been assertive when you have allowed her to pick that date.  Your company may not even honour her hostess rewards because she has booked too far down the track.  Don’t plan on making any money on that date…. If you do and the party goes ahead, it will be a pleasant surprise!  And then you have to convince her friend that books from that party why the next party should be held so much sooner and the vicious cycle goes around.
